Spiritual Formation assessment is the most pastorally sensitive of the three formation modules. Unlike academic exams which have right and wrong answers, and unlike Practical Ministry which has verifiable evidence, Spiritual Formation requires you to exercise pastoral judgment — especially in Sections B (Personal Prayer) and F (Spiritual Attitude).
Who can assess
Both the Class Teacher and the Chaplain are authorised to assess all six sections. Section F (Spiritual Attitude) is particularly suited to the Chaplain's perspective, but either may complete it. If both the teacher and chaplain have significantly different assessments of a student's spiritual attitude, this should be discussed and documented — not silently resolved by one overriding the other.
Core principle
You are not a spiritual judge. You are a formation guide. The assessment exists to help students grow — not to catch them out. Your comments should be constructive, specific, and honest. Avoid vague or generic praise. A specific comment serves the student and the record.

Open the student's form in the ERP and confirm your assessor role
Navigate to Spiritual Formation → Monthly Assessment → Select student → Select month. Select your role (Class Teacher / Chaplain / Spiritual Formation Mentor). This is recorded in the audit log and affects how the assessment is read by the Coordinator.

Review the student's submitted spiritual journal before opening any section
Read through the student's daily quiet time log, prayer records, sermon notes, and self-reflection. Do not begin rating until you have reviewed the material. First impressions from a quick scan are insufficient for a fair assessment.

Rate Section A — Check the devotion entry count and review quality
The ERP auto-suggests a rating based on entry count (24+ = Excellent). Review whether entries are genuinely reflective or appear rushed, copied, or identical. Override the suggestion if needed and add a comment explaining your decision.

Rate Sections B through E using the dropdown and your pastoral observation
Sections B and E have auto-suggestions from attendance data. Sections C and D require your qualitative assessment of note quality and participation. Section B requires your pastoral judgment — sincerity cannot be auto-calculated.

Complete Section F carefully — this is the most pastoral section
Rate each of the five spiritual attitude indicators individually before selecting the overall rating. This section is subjective — write a substantive comment regardless of the rating selected. If the rating is Poor, a comment is required.

Apply adjustment if needed, then review the final score and cap rules
Check whether any grade cap has been applied. If a cap appears and you believe it is unjust given the student's situation, this must be addressed through the Coordinator — not by overriding ratings to circumvent the cap.

Submit the assessment
Submit the form. If any flags were raised (discipline concern, suspicious records, adjustment above ±3), the form will route to the Coordinator before locking. Be available to discuss your assessment if the Coordinator requests clarification.
The five ratings carry specific meaning in the context of spiritual formation. Calibrate these with your chaplain or ministry coordinator before the term begins.
Excellent
100%
Consistent, sincere, reflective, and spiritually growing. Evidence shows genuine engagement with God — not just habit completion. A student who surprises you with depth or growth.
Good
80%
Mostly regular with minor gaps. Sincere effort visible. Student is developing good habits even if not yet deep in reflection. Improvement encouraged but performance is commendable.
Satisfactory
60%
Basic compliance. Records exist but show limited depth. Student is going through the motions rather than genuinely engaging. Needs encouragement and guidance from the chaplain.
Poor
40%
Irregular, shallow, or careless. Records are minimal, copied, or show a pattern of avoidance. A pastoral conversation is strongly recommended. Comment required.
Not Done
0%
No record, no participation, no evidence whatsoever. Comment is required. Grade cap rules will be applied automatically. Consider whether pastoral support is needed.
Section A — Daily Devotion and Quiet Time (20 marks)
The ERP auto-suggests based on entry count. Your job is to assess quality alongside quantity.
Check whether entries were submitted consistently throughout the month or all at once near the deadline.
Read several entries — do they show genuine personal reflection or are they generic and repetitive?
An entry that says "God is good, I prayed today" every day should not receive Excellent even if there are 28 entries.
An entry that shows real wrestling, specific Scripture engagement, and honest personal application is worth upgrading.
Quality threshold
If entries average fewer than 30 words each, or if several entries appear identical, flag this using a Negative Adjustment with reason "Records appear copied or insincere." Do not upgrade the auto-suggestion without reviewing quality.
Section B — Personal Prayer and Reflection (15 marks)
This is the most subjective section. There is no auto-suggestion. Use your pastoral knowledge of the student.

What does a sincere prayer record look like?
Specific prayer points with names, situations, and scripture. Thanksgiving entries that reference real events. Intercession that shows awareness of others' needs. Growth or change noted over time.

Prayer points that are identical every week. Thanksgiving entries that never change. No evidence of intercession for others. Records that feel formal and disconnected from the student's actual life.

Comment guidance
For this section, write a comment regardless of rating. Note something specific you observed — either a strength or an area needing growth. Generic comments ("Good prayer life") are not sufficient.
Section C — Sermon / Devotion Notes (20 marks)
Count how many services are covered — most daily devotions, Bible studies, and Sunday services should have notes.
Check whether each note includes: Scripture reference, main message, and personal application.
A note that says "The message was about faith" with no Scripture and no application is Poor, not Satisfactory.
Look for signs of copied notes — identical wording across different services, or notes that appear to summarise rather than engage.
Section D — Bible Study Participation (15 marks)
Confirm attendance records — how many Bible study sessions did the student attend?
Assess the quality of participation in discussion — Active, Good, Average, or Poor.
Review whether notes show personal application or just topic summaries.
Scripture memorisation attempted — even partial memorisation shows engagement.
Section E — Worship Service Participation (15 marks)
The ERP auto-suggests based on attendance percentage. Your override should reflect attentiveness, not just presence.
A student with 95% attendance who is always on their phone, distracted, or passive should not receive Excellent.
Use the Participation Level field (Active / Present / Passive / Irregular / Absent) to distinguish between physical and spiritual presence.
A student who was genuinely unwell for two sessions but was attentive and engaged in all others may still warrant Good or Excellent.
Section F — Spiritual Attitude, Growth, and Discipline (15 marks)
Rate each of the five indicators individually before selecting the overall rating.

When rating is Poor for Section F
- A comment is required — describe the specific behaviour or pattern that warranted Poor.
- The ERP will automatically cap the student's grade at maximum B.
- A pastoral conversation with the student is strongly recommended before or alongside the assessment.
- If there is a serious discipline concern, select "Serious" in the discipline field — this flags the assessment for Coordinator review.

Spiritual Formation adjustment philosophy
Because this module is more inward and less verifiable than Practical Ministry, adjustments here carry particular weight. A Positive Adjustment for "genuine repentance and restored discipline" should be supported by specific evidence you observed — not just a general sense of improvement. A Negative Adjustment for "false records" should be supported by documented concerns, not suspicion.

Term rounding rule
Term average of 79.50 and above rounds to 80 (Grade A). Below 79.50 stays at 79 (Grade B+). The ERP applies this automatically.

Student is going through personal difficulty
If a student's spiritual records dropped significantly due to personal difficulty (bereavement, illness, family crisis), document the situation in the overall comment and consider a Positive Adjustment for "genuine effort despite difficulty." The assessment should be fair and pastoral, not punitive.
Student's records appear copied or fabricated
Do not confront the student without evidence. Rate the section as Poor or Not Done, apply a Negative Adjustment with reason "Records appear copied or insincere," and document your specific concerns in the comment. The ERP will flag this for Coordinator review. The Coordinator will then decide on appropriate follow-up.
Student shows dramatic growth mid-term
Month 2 or 3 improvements are valid reasons for Positive Adjustment with reason "Strong spiritual improvement." Document specifically what changed — not just that improvement was noticed. This helps the student understand what growth looks like and motivates continued discipline.
Teacher and chaplain assess differently
If the chaplain rates Section F significantly differently from the class teacher, do not resolve this silently. Document both perspectives in the comment — "Teacher's assessment: Good. Chaplain's perspective: Satisfactory — based on observations during prayer sessions." Then route to the Coordinator for a final decision. This transparency protects both assessors and the student.
Student requests to see their assessment
Students have the right to see their monthly score and grade once locked. They may also request general feedback. Specific comment content is shared at the teacher's discretion in consultation with the Coordinator. Do not share other students' assessments.

A note on the pastoral responsibility
An F grade or a Poor Section F rating is not just an administrative event — it is a pastoral signal. The Chaplain should follow up personally with any student who receives either of these, independent of the academic outcome. The ERP flags these students on the dashboard to remind you.
